Why the First Message Matters More Than You Think

When someone messages you on WhatsApp, they have chosen to talk to your shop directly. They opened the app, found your number and typed something. Your first reply decides whether the chat carries on or stops there.

Speed matters more than anything else. A reply that lands while they are still in the app keeps the chat going. One that arrives an hour later has to start again from cold.

Your first message also sets the tone. A clumsy or robotic opener tells people the rest will be just as unhelpful. A warm, useful one builds trust straight away.

5 Bad Welcome Message Patterns (And Why They Fail)

Bad example 1 — Generic and uninformative

“Hello! Welcome to [Brand Name]. How can we help you today?”

This says nothing useful. It leaves all the work to the customer.

Bad example 2 — Too long to read

“Hi there! Thank you so much for reaching out to us on WhatsApp. We are delighted to have you as a customer and want you to know that our dedicated team is here to help with any questions you may have about your order, our product range, shipping times, returns, exchanges, or anything else you need. Please let us know how we can assist you today and we will get back to you as soon as possible during our opening hours of Monday to Friday 9am to 5pm.”

Nobody reads this. The one useful bit, the opening hours, is buried right at the end.

Bad example 3 — Pushy and sales-focused

“Hi! Check out our SALE items — up to 50% off! Shop now: [link]”

If they messaged you with a problem, this is the wrong reply. It will annoy them straight away.

Bad example 4 — Robotic and impersonal

“TICKET #58402 CREATED. YOUR REQUEST HAS BEEN RECEIVED. A REPRESENTATIVE WILL RESPOND WITHIN 24-48 HOURS.”

This reads like an old automatic email. It tells the customer they have joined a queue, not a conversation.

Bad example 5 — Vague and non-committal

“Thanks for your message. We’ll get back to you shortly.”

“Shortly” means nothing. No context, no options, no next step.

5 Good Welcome Message Patterns (And Why They Work)

Good example 1 — Context-aware and specific

“Hi Emma! I can see your order #4821 was dispatched this morning. Is that what you were checking on, or is there something else I can help with?”

Uses their name and their order. It answers the likely question before they ask, and still leaves room for anything else.

Good example 2 — Menu-driven with clear options

“Hi! I’m the AstroX support assistant for [Brand]. What can I help you with? Reply: 1 for order status, 2 for returns, 3 for product questions, or just type your question.”

Customers know exactly what to do next. Quick to read, and it works well when you get a lot of messages.

Good example 3 — Friendly, with a person on offer

“Hi! Got your message. I can help with most things instantly — or connect you to our team if needed. What’s going on?”

It is honest that AI is answering, without sounding robotic. It offers to hand over to a person before anyone has to ask.

Key Principles for WhatsApp Welcome Messages

  • Reply fast. People stay in the chat when the answer lands straight away. This is exactly what automation is for.
  • Make it about them. If you know their order number, mention it. People reply far more often when the message clearly relates to them.
  • Offer a short list of options. It saves the customer having to work out how to word their question.
  • Keep it under 160 characters if possible. Shorter messages are read. Longer ones are scrolled past.
  • Give one clear next step. “Reply with your order number” or “type your question” both work. Just tell them what to do.
  • Don’t mix support and marketing. If a customer has reached out for help, don’t lead with a promotion.
