What is BYOA and Why Does It Matter?
BYOA stands for Bring Your Own Account. It means you register and own your WhatsApp Business number directly with Meta, rather than using a number provided and controlled by a third-party platform.
This matters for three reasons:
- You own the number. If you ever switch AI providers, your WhatsApp number stays with you. Your customers’ conversation history, opt-ins, and brand recognition are portable.
- Meta bills you directly. WhatsApp messaging fees (at Meta’s current rates, depending on message category and destination) go straight to your Meta Business account. No markup, no intermediary.
- Full compliance. You control opt-in consent, message templates, and policy compliance directly in Meta Business Manager.
Cost note: Meta’s WhatsApp pricing is now per message by category (marketing, utility, service). Replying to customer-initiated support conversations is currently free, but Meta has announced that service messages will also be charged from October 2026. Check Meta’s official pricing page for current rates — fees are billed to you directly by Meta, with no AstroX markup.
The 7-Step Setup Process
Go to business.facebook.com and create a Meta Business Manager account for your store. You’ll need a Facebook account to do this. Verify your business identity — Meta will ask for basic business details. This typically takes 1–2 days to verify.
Navigate to WhatsApp Manager within Meta Business Manager. Add a phone number — this must be a number that can receive SMS or calls for verification. It cannot already be registered as a personal or WhatsApp Business App number. A UK mobile or a VoIP number both work. You will receive a verification code to confirm ownership.
AstroX connects to your number through Meta’s official WhatsApp Business service — no third-party messaging middleman. In Meta Business Manager, create (or reuse) a Meta app with WhatsApp enabled. Everything stays inside your own Meta account: the number, the message history, and the billing relationship.
In WhatsApp Manager, attach your verified phone number to your Meta app and generate a permanent access token for it. Your number remains registered in your Meta Business Manager at all times — AstroX only receives permission to send and receive on it, which you can take back whenever you want.
In your AstroX dashboard, go to Integrations → WhatsApp and enter the phone number ID and access token Meta gave you. AstroX sets up the connection so customer messages reach your AI straight away.
In AstroX, go to Integrations → Shopify. Enter your Shopify store URL and sign in with your Shopify account to approve it. This gives AstroX read access to orders, products, and inventory so the AI can answer “where is my order” and stock questions in real time.
Upload your returns policy, shipping policy, size guides, and FAQ. Read back through the content you uploaded to confirm it is accurate. Set your handover rules (e.g., any complaint → a person). Then activate the bot. Your WhatsApp number is now live with AI support running 24/7.
Tips for Your WhatsApp Welcome Message
The first message a customer receives when they start a WhatsApp conversation sets the tone for the entire interaction. A few principles that consistently improve engagement:
- Respond within 5 seconds of the customer sending their first message — instant response rates are significantly higher than delayed ones.
- Open with context. If you know they just placed an order, reference it: “Hi! I can see your order #1234 was placed today. What can I help you with?”
- Offer a short menu of options to guide the conversation: “Reply with: 1 for order status, 2 for returns, 3 for something else.”
- Keep opening messages under 160 characters where possible. Long opening messages have lower response rates.
- Avoid marketing language in support conversations. Customers who reach out for support want help, not promotions.
